Invite your team

Everyone who uses the dashboard needs their own account. Don't share credentials: activity is recorded per user, and a shared account makes it impossible to know who did what.

The three roles

RoleWho it's forWhat they can do
AdministratorOwner, managerEverything: configuration, doctors, patients, team, billing
DoctorProfessionalsView and manage the schedule and appointments
ReceptionFront deskView and manage the schedule and appointments

The Configuration, Doctors, Patients and Team screens are administrator-only. Everyone else sees Home, Calendar, Analytics and Security.

Keep at least two administrators. With only one, if that person loses access nobody can invite anyone or touch the configuration.

How to invite

  1. Go to Team.
  2. Enter the person's email and choose the role.
  3. An invitation email goes out with a link.

They open the link, set a password and sign in. The email they register with must match the one the invitation was sent to.

If the email doesn't arrive

It happens, especially with corporate spam filters. In the Team list each pending invitation offers copy link: send it over WhatsApp or hand it over in person. It works exactly the same.

You can also resend the invitation, limited to once every five minutes.

Resending does not extend the expiry. Invitations expire 7 days after they were created. If one has expired, revoke it and create a new one.

Changing a role or removing someone

From Team, on each person's row.

Two deliberate limits:

  • You cannot change your own role.
  • You cannot remove the last administrator.

When you remove someone they lose access to the clinic. It can take up to an hour for an active session to close if they're using the dashboard at that moment. If you need access cut immediately — an acrimonious departure, say — write to us.

Account security

Each person can turn on a second factor from Security, using an app like Google Authenticator. It's optional but strongly recommended for administrator accounts, which are the ones that can change configuration and billing.

Explained in Team and security.
